Add Page Numbers to PDF

To number the pages of a PDF, drop your document in the box above, pick where the numbers should go and press Add page numbers. The live preview shows the real page with the number drawn exactly where it will land, so you can check it before you download anything.

Everything happens in your browser. Your PDF is read, numbered and saved on your own device, so it is not uploaded to a server. That makes this a quick, private way to add page numbers to PDF online, whether the file is a two-page letter or a 900-page court bundle.

There are six places to put a page number: top left, top centre and top right, or bottom left, bottom centre and bottom right. Click a corner in the little page diagram in Options and the preview moves the number at once.

Bottom centre is the safest choice for most documents, because it is where readers expect page numbers and it never clashes with a heading. Bottom right suits documents bound on the left, such as reports in a spring file, because the number sits on the outer edge where a thumb finds it. Top right is common in academic work and in legal drafts that carry a header on the left.

Margin controls how far the number sits from the edge of the page: Small, Normal or Large. If your document has a footer that reaches low on the page, choose Large so the number stays clear of it, or move the number to the top. Size runs from 8 to 14 points, and you can choose black or grey and one of three fonts: Helvetica, Times or Courier.

Pages that are turned sideways get special care. A landscape table or a scanned page stored with a rotation is numbered the right way up, in the corner you chose as the reader sees it, not as the file stores it. Many basic tools put the number sideways or in the wrong corner on such pages.

Pick the PDF page numbering format that matches the kind of document you are making. Every format can carry your own text before or after it, such as Annexure 1 - before the number or | Confidential after it.

In 1 of N and Page 1 of N, N is the number printed on the last numbered page. It counts only the pages that actually get a number, after Skip the first page and any page range, with your start number applied. So a 10-page file with the cover skipped reads 1 of 9 to 9 of 9, and the same file starting at 5 reads 5 of 13 to 13 of 13. The preview shows the exact text for any page you step to.

Start at sets the number printed on the first numbered page. Use it when a file continues another one: if chapter 2 begins on page 41 of the full book, set the start to 41 and the chapter's pages read 41, 42, 43 and onwards.

Skip the first page leaves a cover or title page clean and starts counting on page 2. With the default start of 1, page 2 shows 1, which is what most people want for a report with a cover. If you would rather page 2 shows 2, set the start to 2.

Pages to number limits numbering to part of the file. Type 3-end to number from page 3 to the last page, 1-4, 9 for pages 1 to 4 and page 9, or leave it blank for every page. Pages outside the range are left exactly as they are. This is how you leave the front matter of a thesis unnumbered and number only the main text, or number the annexures of a bundle but not the index.

For a thesis that needs Roman numerals on the front matter and ordinary numbers on the chapters, run the tool twice: first number the front pages with Roman numerals and a range such as 1-8, then number the downloaded file again with plain numbers, a range of 9-end and a start of 1.

Bates numbering is the stamp lawyers put on every page of the documents in a case so each page can be identified for certain, for example ABC000001, ABC000002 and so on. Courts, law firms and compliance teams use it for discovery, evidence bundles and audit files, where saying see ABC000417 must point to exactly one page.

Switch on Bates numbering in Options, type a prefix such as a case code or your firm's initials, choose how many digits the number has (6 is common) and the first number. Each page then gets a fixed-width number with leading zeros, so the stamps line up and sort correctly.

In a batch, Bates numbering is one running count across all the files, in the order of your list. If the first PDF has 40 pages and ends at ABC000040, the second PDF starts at ABC000041; it never starts again at 1. Use the up and down arrows on the file list to set the order, and the list shows the Bates range each file will receive before you run it. The tool also tells you the next free number, so the next batch can carry on exactly where this one stopped.

Most free page numbers PDF tools online do not offer Bates numbering at all, and desktop software that does is usually paid. Here it is free, works in the browser and does not upload the documents, which matters when they are confidential case papers.

To number several PDFs at once, add them all to the box. Each file is numbered on its own: ordinary page numbers start again in every file, while Bates numbers run on across the batch as explained above.

When the batch is done you get one ZIP with every numbered PDF inside, named like the original with -numbered added. You can also download any single file from the list, or preview it first. A single file is always downloaded as a plain PDF, not a ZIP.

A batch can hold up to 100 PDFs, each up to 200 MB and about 500 MB together. That is what a typical laptop or phone browser can hold in memory comfortably while it makes the numbered copies; above that the tool tells you to split the batch rather than letting the tab crash.

You do not need Adobe Acrobat or any other software to number a PDF. This page is the whole tool: it runs in Chrome, Edge, Firefox, Safari and other modern browsers on Windows, Mac, Linux and Chromebooks, with nothing to install and no account to create.

If you still have the original Word file, Word can insert page numbers before you save it as a PDF, and that is a fine choice. But very often the PDF is all you have: a scanned document, a file someone sent you, a form exported from a portal, or a bundle merged from many sources. Retyping it in Word is not an option, and printing it out to number by hand is slow.

Adding numbers to the finished PDF is quicker and safer. The layout, fonts and images stay exactly as they are, because nothing is converted or re-flowed; the number is simply written on top of each page. And when you merge several documents into one bundle, numbering the final PDF is the only way to get one continuous sequence across all of them.

You can add page numbers to a PDF on an Android phone or an iPhone in the browser. Open this page in Chrome or Safari, tap Select PDF files and choose the document from your Files app, Google Drive or downloads.

Options and the live preview work just as on a computer. Tap a corner to place the number, check the preview, then tap Add page numbers and Download. The numbered PDF is saved to your downloads, ready to attach to an email or upload to a portal.

Unlike most page numbers PDF services, numbering here runs 100% in your browser. Your PDF is opened, numbered and saved on your own device by code that runs in this page. It is not sent to our server or anyone else's, so confidential contracts, medical reports and case papers stay with you.

There is one exception, and it is optional. A password-protected PDF cannot be changed until it is unlocked. If you type its password and press Unlock, that one file is uploaded to our server over an encrypted HTTPS connection, unlocked, sent back and deleted straight away. The tool says so next to the password box before you press anything. If you would rather nothing leaves your device, remove the password in the program that created the file and add the unlocked copy instead.

Your original file is never changed. The tool makes a new, numbered copy, and the original stays on your device exactly as it was.

Merge first, then number. If the final document is made of several files, combine them with Merge PDF and add page numbers to the merged PDF, so the numbering runs straight through without restarting.

Check two pages in the preview, not one. Step to the first and the last numbered page with the arrows under the preview; it shows the exact text each one will get, which catches a wrong start number or range before you download.

Use 1 of N when a missing page would matter. A reader who sees 7 of 12 knows at once that the document has twelve pages, so a lost sheet is obvious.

Keep the original. The numbered PDF is a new file, so you can always go back and number again with different settings. To make the file smaller for an upload portal afterwards, use Compress PDF; to edit the words inside, PDF to Word turns it into a Word file.
